01
Booking Amount
A booking amount of ₹10,000 per seat is charged at the time of confirming your spot on a Zeparture departure. This amount is non-refundable under any circumstances, including but not limited to change of plans, visa rejection, medical emergency, or personal cancellation. It secures your seat and is applied toward vendor commitments (accommodation, transport, and activity holds) made immediately on your behalf.
02
Cancellation & Refund Schedule
Refunds are calculated on the total amount paid, and are always calculated after deducting the non-refundable ₹10,000 booking amount:
| Time of cancellation | Refund (excl. deposit) |
|---|---|
| More than 60 days before departure | 100% refunded |
| 30–60 days before departure | 50% refunded |
| Less than 30 days before departure | 0% refunded |
- Booking amount forfeited: ₹10,000
- Remaining amount: ₹51,000
- Refund at 50%: ₹25,500
- Total refunded: ₹25,500 | Total forfeited: ₹35,500
03
Why the Refund Scales
Vendor costs (accommodation blocks, ground transport, activity slots) are progressively locked in as departure nears, and a cancelled seat becomes harder to resell the closer it gets to the trip. The refund schedule reflects that increasing cost of cancellation to Zeparture — it is not arbitrary, and it is not negotiable case-by-case, since doing so would set a precedent every future guest could invoke.
04
Company-Initiated Cancellation
If Zeparture cancels a departure for any reason (including failure to reach minimum group size), guests receive a 100% refund of all amounts paid, including the ₹10,000 booking amount, within 7 business days. No forfeiture clause in Section 1 or 2 applies to a company-side cancellation.
05
Date Changes
If Zeparture changes the confirmed departure date, guests may cancel and receive a full refund (including the booking amount) if they do not accept the new date, provided they notify Zeparture within 7 days of being informed of the change. Silence beyond 7 days is treated as acceptance of the new date.
06
Payment Failures / No-Shows
Failure to pay the balance amount by the communicated due date, or failure to report for departure, is treated as a cancellation inside the "less than 30 days" window — no refund — regardless of the actual date of default.
07
Force Majeure
In case of cancellation due to government travel restrictions, natural disaster, or other events outside Zeparture's reasonable control, Zeparture will refund whatever amount is recoverable from vendors, minus reasonable processing costs already incurred. The ₹10,000 booking amount forfeiture rule (Section 1) does not apply in force majeure scenarios — this is a goodwill exception, not a contractual entitlement.
08
Refund Processing
Approved refunds are processed within 7–10 business days to the original payment method.
